The Assistant Property Manager is a front facing role supporting the needs of our building tenants and customers. This position offers you the opportunity to use your skills and experience in commercial property management. You will impact virtually all aspects of the applicable Netrality property. The successful team member will leverage their experience to assist with a variety of financial and operational responsibilities, including financial reporting, financial analysis, customer assistance, and contract generation. This is an opportunity for the right person to establish efficiencies and best practices that suit the growing needs of Netrality, our customers, and tenants.Description of Responsibilities Hear and resolve matters of issue from tenants and customersManage information flow in a timely and accurate mannerThrive in a face-paced environment, managing competing prioritiesBe curious and inquisitive about understanding and improving business processesBe a team player with the ability to work and communicate across a variety of business units and management levelsOrder supplies and restock management officesReceive and process/code all invoices through company's billing system. Obtain and attach appropriate backup documentationGenerate all vendor Service Contracts, Addendums, Work Orders and Purchase Orders. Organize and file those documents upon completionEnsure company has current/accurate Certificates of Insurance for all Tenants and vendorsWork with vendors on any outstanding invoices or invoice discrepanciesRespond to Tenant requests and needs; coordinate efforts with the Operation teams to resolve issuesReview and execute all Tenant charges, includingadditional billings such as Electric Usage, Cross Connect fees, Smart Hand service fees, Tenant bill backs, etc. Assist with Accounts Receivable and Accounts Payable, including collection of rent, accruals, payment of expenses, CAM estimates, true-ups, reconciliations, compliance with lease terms, and preparation of all related documentationAssist in the preparation of annual budgets, forecasts, monthly reports, and variance reports, including accruals, journal entries, and heavy financial reportingEstablish and maintain effective working relationships with internal and external tenants and vendorsSend out Tenant notifications; keep all Tenant lease files and all vendor files current and accurate. General office duties including ordering/tracking office supplies, sending overnight shipments, arranging lunches, answering office calls, sorting mail, etc. Communicate regularly with management and various business unitsProvide ad-hoc support and complete requests as neededPosition Requirements and Desired Skills A minimum of 5 years of experience in commercial property management and also in accounting.High school diploma required; bachelors degree strongly preferredA strong understanding of financial terms and principles, plus the ability to analyze financial statementsConsiderable knowledge of commercial leases and vendor contractsAn extensive understanding of commercial real estate terminologyWork experience in an office environment and knowledgeable of office proceduresStrong experience with office management systems, MS Office and Excel Familiarity with online calendars and cloud systemsExperience using office equipment, including printersExcellent communication skills (via phone, email and in-person)Experience exercising discretion and confidentiality with sensitive company informationExcellent organizational skills with an ability to think proactively and prioritize workBe a detail-oriented problem solver, working towards meaningful solutions alwaysExperience working independently as well as collaboratively; effectively managing priorities while meeting hard deadlinesAbility to work cross-functionally with easeSelf-motivated, initiative takerHighest ethical and professional conduct and integrityAdhere to all guidelines and expectations set forth in company's corporate handbookNetrality Management Co., LLC, Netrality Property Management Company, LLC and its affiliate companies are equal opportunity employers, abiding by all federal, state, and local laws and employment regulations.
