Sales Assistant - HOLLY HUNT

Tracking Code 2622-056 Job Description **COMPANY PROFILE:**

HOLLY HUNT is a sales and service organization, as well as designer and maker of high-end interior design furniture, lighting, textiles, leather, and rugs. HOLLY HUNTS to the trade customers are interior designers and architects. 85 to 90 percent of business revenue is generated from residential purchases, while 10 to 15 percent is generated from contract, corporate or hospitality purchases.

**POSITION PROFILE:**

Sales Support is an integral part of the Holly Hunt Showroom. Their responsibilities are to work closely with the Sales Associate, Clients, Corporate Office, Outside Sales Associate, and Represented Vendors, to ensure the smooth processing and production of orders. Sales Support is also responsible for much of the administration in operating the showroom, such as inventory, customer service and general upkeep.

**Primary Responsibilities**

* Answer incoming phone calls, transfer to appropriate Sales Associate

* Enter all new clients on customer card (assign SC account#), collect Resale form to turn into corporate send new client welcome packet to all new account holders

* Update expired resale info

* Process credit card payments, record deposits in Navision, release orders

* Double check all order packets for accuracy

* Assist in coordinating correct freight charges for client orders and ensuring ship to information is complete

* Make sure COM ID form is complete and sent to vendor as required

* Update approvals for SFAs / DFAs

* Request freight updates if ship to changes or expedited freight is required post order

* Run weekly Order Status reports, manage open orders, update clients on ECD, add RDDs, review order hold reports, expedite orders partnering with Client First team to prioritize hot orders

* Follow up on Balance Due Notices to collect payments

* Provide tracking updates to clients

* Initiate customer service claims to Client First teams, expediting replacements/repairs as needed

* Get estimates and facilitate local repairs, coordinate with clients or receiving warehouse

* Complete and submit refund request forms for overpayments

* Maintain sales tools (order tear sheets, catalogs, finish samples, etc) on sales floor and order when needed

* Maintain showroom inventory and merchandise tagging; including price changes Keep detailed records and receipts of consignment product including BOL, ITO, and all items sold off the floor (SSOF) in an Excel document

* Maintain upkeep and appearance of showroom, including storage areas

* Oversee work of service providers to ensure job is done as contracted. (Painters, electricians, window washers, cleaning service, etc.) Report issues to GM

* Assist with preparations and while Creative Team visits

* Responsible for receiving and shipping out product working with GM, HH Collection and Vendors

* Assist as needed to hang new textile collection launches in showroom

* Maintain showroom aesthetic throughout the day which includes moving pieces for client viewing, resetting disheveled seating, return misplaced accessories

* Be a team player, cover breaks as needed

* Acknowledge every client that comes into the showroom

Required Skills

* Bachelor's degree required

* 1-2 years working in a retail, design, or showroom environment

Required Experience

* Organized, detailed oriented, and self-driven

* Bachelor's degree required

* Ability to multitask, problem solve and navigate ambiguity

* Excellent communication skills both written and verbal

* Some lifting (20-50 lbs max)

* Proficient in Microsoft Word/Excel/Outlook
