POSITION DESCRIPTION

Acentech is a leading multi-disciplinary acoustics, audiovisual, telecommunications, security, and vibration consulting firm headquartered in Cambridge, Massachusetts with multiple regional offices. Acentech is seeking a Proposal Manager to join our Marketing Group. This position requires a highly self-reliant, detail-oriented professional who is familiar with performing under pressure to meet multiple deadlines. This role is critical to the firm’s business development strategy, responsible for overall support in the preparation of proposals and statement of qualification submissions across the firm’s core services and geographic office locations. Acentech has a diverse expertise and portfolio that demonstrates our willingness and ability to deliver on a wide variety of scopes and project types in targeted market sectors in the AEC industry. Working directly with our consultants, this person is responsible for developing creative, responsive materials designed to meet our clients’ proposal pursuit efforts and support our business development initiatives. Additionally, this position will perform other related marketing tasks as directed by the Principal, Strategic Marketing.

Areas of Responsibilit y

Proposal | Qualifications Development

Manage and produce responses to requests for statement of qualifications and proposals. Responsibilities include overall guidance in conceiving and executing timely proposals, including communicating with clients, creating, and editing materials, and overseeing the tone and look of materials. Must deliver on components required to complete a proposal and qualifications submission, from production to consultant review/approval to ensure fully executed from start to finish.

Conduct research, gather information, and attend meetings that may be needed for a specific proposal

Create, edit, and revise qualifications according to feedback and notes given by technical consultants

Provide significant support to and/or take ownership of customized responses to proposal qualifications for major high-impact strategic pursuits

Build parameters for proposals and qualifications to utilize master templates

Read and interpret client RFP/RFQs and craft responses that meet all the requirements, including customized materials, as requested

Continuously make and evaluate suggestions for improvements and ways to streamline the process

Responsible for tracking and updating annual vendor qualifications for government agencies, institutions, and (public/private) clients

Marketing Collateral Development

Responsible for creating and regularly maintaining all marketing collateral materials, to ensure consistency of brand standards, messaging and technical accuracy of the content are applied across all materials.

Maintain a deep understanding of the firm’s portfolio and expertise, continually evolving the content in response to trends impacting our markets and translating them into actionable marketing content

Partner with Market Leader(s) to develop market-specific content for targeted project types

Create and keep current a library of boilerplate templates for proposals and multiservice proposals

Create, update, and maintain a library of project summaries, staff resumes, service profiles, experience profiles, and specific business information related to proposal responses

Work with the Communications Manager to assist in maintaining a photography database used in collateral development

Database Content Administration

Responsible for updating and maintaining the firm-wide informational database, Deltek Vantage Point, with proposal and qualifications information on an ongoing basis. Data collection includes all information generated for opportunities including contacts from clients, teaming partners, consultants, and vendor procurement processes.

Lead Sources | Tracking

Track and monitor lead sources associated with our core markets. Keep informed of industry procurement developments, and their impact on Acentech’s proposal process. Research and qualify leads and opportunities through lead sourcing services and participate in teaming outreach activities with existing clients and prospective clients.

Maintain relationships with marketing/proposal staff with key architecture firm clients and strategic partners

Nurture network contacts with local and national organizations that can generate direct business opportunities to Acentech

Qualifications | Skills Required

Must have a minimum of 7+ years of similar work experience in the AEC industry

Knowledge of the business development proposal process (RFP/RFQ/SOQ)

Track record of creating qualifications and proposals for AEC market sectors and building types

Ability to work independently, multi-task, and perform effectively under tight, multiple deadlines at a time

Ability to understand, write, and assimilate technical material from technical consultants/engineers

Strong writing, editing, and graphic skills, and extremely detail-oriented

Highly proficient in Adobe Creative Suite (advanced InDesign skills) and Microsoft Word/Excel/PowerPoint

Excellent communication, organization, and team-building skills

Knowledge and experience with Deltek Vantage Point a plus

Bachelor’s degree with a focus in Marketing, Communications, English or other Business-Related discipline is strongly preferred

Involvement in the Society of Marketing Professional Services (SMPS) a plus
