This is a temporary position for Raytheon

Job Description:
As a Sr. Management Assistant in GNC, you have a key role within the center supporting the leadership team and over 400 employees within the center. The position has a variety of responsibilities that fall within three main categories: Direct support of the leadership team of GNC, support for all personnel within the center, and support across engineering.

Leadership Team Support

  • Manage calendars and e-mail for three Department Managers and backup lead admin for others
  • Manage phones, record and deliver messages
  • Arrange manager?s appointments, meetings, travel schedules/reservations, and prepare business expense reports in a timely manner
  • Arrange meetings to include conference room reservations, off-site venues, Skype/Sametime and teleconference set-up and catering arrangements, if needed
  • Run and maintain center/department reports for the center such as achievement awards and training
  • Assistance for hiring, staffing, transfers and separations
  • Ensuring seamless onboarding for all new hires

Center Level Support

  • Being available to answer questions and direct employees to the many resources available
  • Coordinate employee office moves (i.e. telephone, computer, and personal boxes)
  • Track and order supplies as required
  • Coordinate visit requests using Visitor Request System
  • Assist employees with travel, corporate card information, HR support, time card entry, etc.

Engineering Level Support

  • Assist with Raytheon conferences such as Warfighter School, the Anti-Tamper Conference and others
  • Provide administrative support to multiple departments within SD&P when required
  • Perform special assignments and administrative duties which may involve specialized aspects of the manager's responsibilities
Required Skills:
  • Four (4) years of experience with the MS Office suite performing advanced functions of the products:
    • Excel?pivot tables, macros, equations, and data analysis tools;
    • PowerPoint?develop presentations based upon meeting notes or instructions with animations/transitions, graphs, and organization charts;
    • Word?mail merge, macros, pagination, and web links;
    • Outlook?calendaring and calendar sharing, meeting invitations, folders, archives, and task lists
  • Past work experience setting up Sharepoint sites, administering Sharepoint such as adding material, users, permissions and managing content
  • Past work experience maintaining confidentiality of personnel information
  • Recent applied work experience with Web-based tools such as inventory tracking/ticketing systems, company delivery systems internal equipment (RAYTrak), complex employee data portals (SPEED), and electronic storage systems
  • Work experience preparing and managing business travel requests including subsequent invoicing and expenses for multiple individuals
  • Direct work experience interfacing with multiple internal and external organizations or customers such as facilities, housekeeping, security, human resources and information technology
  • Experience arranging classified and unclassified meetings such as requesting meeting space, refreshments, conference call numbers or logistics for Skype meetings, print media, AV equipment, visit requests, etc.
  • Eligibility to obtain a security clearance

  • Ability to translate thoughts and ideas (provided verbally or in notes) into effective media such as e-mail, Word, Power Point presentation, or Excel Spreadsheet, as required
  • Skilled in the use of proper phone/e-mail etiquette and clear message taking

Minimum Education Required: HS diploma and four (4) years of administrative experience supporting multiple individuals
