Key Responsibilities;
Provide administrative and coordination support to the Head of Supply Chain, Engineering & Asset Management in a highly responsible, timely and confidential manner as well as provide support to other senior members of the business. This role will also take on the responsibility for the coordination of communications relating to the Supply Chain and Engineering & Asset Management teams.
Responsibilities
Manage and support emails and diary of the Head of Supply Chain, Engineering & Asset Management
Book accurate flight and hotel arrangements in a timely, cost effective manner for interstate and international travel bookings for the team
Manage all executive level administrative tasks including scheduling meetings and video/teleconference calls
Coordination of communications relating to the Supply Chain team including internal communications and strategic supplier communications
Assist in development of executive level reports and presentations that are required on a weekly, monthly and quarterly basis
Adeptly handle incoming communications and respond to internal requests for information on a timely basis
Handle sensitive and confidential information with discretion
Prepare and submit expense statements and the reconciliation of charges and receipts in a timely manner for senior management team
Communicate announcements and news-letters to the business
Assist with all event management requirements and tasks as required
Create meeting agendas and organise meeting material to be distributed as necessary in a timely manner
Represent the senior management team at internal staff and client related functions as directed
Foster and maintain effective working relationships with key internal and external stakeholders
Key Requirements;
Minimum of five plus years high level administrative experience
Experience writing and managing professional communications
Ability to work with little supervision and achieve superior results
Strong attention to detail and accuracy
Excellent organisational skills with ability to multi-task and prioritize to meet short deadlines
Strong written and verbal communication required
High standard of computer proficiency (advanced Microsoft Office Suite)
Professionally presented with exceptional interpersonal and communication skills
Personal and professional credibility
Organisationally astute
Proactive thinking
High level of motivation
Unquestioned personal and professional integrity
Diplomacy and discretion, ability to manage sensitive information
